Front Office Call Center Operator

About the Role

As a Call Center Operator, you are often the first voice people hear when they reach out to The Center. This role plays a critical part in creating a welcoming, supportive experience for individuals seeking services. You will help connect clients to the care they need by managing calls, scheduling appointments, and providing accurate information about available services. This position requires strong communication skills, attention to detail, and a compassionate approach—especially when interacting with individuals navigating mental health challenges.

Key Responsibilities:

  • Answer and direct incoming calls in a professional, timely, and compassionate manner

  • Ask appropriate questions to route calls or provide accurate information

  • Schedule, reschedule, and cancel appointments using the electronic health record (EHR) system

  • Provide information about open access and other service entry options

  • Open new client charts, assign chart numbers, and complete initial contact entries

  • Take and relay messages for clinical staff, medical staff, and prescription requests

  • Make reminder calls and print daily schedules as needed

  • Collect client information necessary for billing purposes

  • Accept and document payments made by phone

  • Respond appropriately to urgent or crisis calls, following established protocols

  • Complete data entry and maintain accurate documentation

  • Support general front office operations and assist with additional duties as assigned

Requirements

Minimum Qualifications
  • High school diploma or equivalent

  • Minimum of 6 months experience in a front office, customer service, or client-facing role

  • Valid Kansas driver’s license with a favorable driving record

  • Background free of issues related to abuse or neglect

Preferred Qualifications
  • Associate degree in office/secretarial technology or related field

  • Bilingual (Spanish preferred)

  • Previous experience in healthcare, behavioral health, or human services
